Position Description: Project Coordinator
Basic Function: The project coordinator position provides assistance to Project Managers, Estimating, and Executive Management.
Project Management Responsibilities: 85%
- Provide Subcontractor and Owner pay applications, lien releases and other financial documentation to the Vice President and Finance Controller on a monthly basis.
- Assist and Manage Pay Applications, Submittals, and RFI’s across a variety of internal and owner online portals.
- Utilize Procore, Internal Shared Drive, Building Connected and LinkedIn
- Assist in resolving and/or escalating site vendor issues as necessary.
- Assist in performance of closeout requirements after project completion
- Support Operations and Executive Management staff as required
- Communicate and coordinate with cross functional teams including Project Management, Estimating and Accounting
- Perform life cycle contract administration for all prime and subcontract agreements
- Ensure Quality Assurance per contract documents, and standards – including assisting with Quality Control, Fire Prevention and Safety and Health submittals
- Maintain files of all subcontract agreements including all change orders and track the execution of each.
- Ensure that subcontract documents address legal requirements, owner specifications and government regulations
- Track and manage subcontract and owner insurance requirements.
- Track and manage subcontract licenses and business registrations.
- Track and maintain internal files of vendor and subcontractor W-9’s for each project.
- Track, file and submit subcontractor Certified Payroll to the Owner for each project.
- Maintain and document meeting minutes and meeting invitations for OAC, subcontractor and internal operations and leadership meetings for each project.
- Responsible for the start up and entering of all new projects in Procore and the internal shared drive.
- Assist with Rework & Warranty Claims.
- Responsible for keeping all Project Directories up to date
- Assist with College Job Fairs and Recruiting as directed by the VP or Human Resources/Office Manager
Estimating Backup Responsibilities: 10%
- Responsible for updating and maintaining master subcontractor bid list sheets.
- Track online bid opportunities and solicitation requirements.
- Assist with creating and assembling bids/proposals
Miscellaneous Marketing Responsibilities: 5%
Assist with updating marketing material, project photographs, including website administration and posting to LinkedIn
Desired Qualifications:
- A bachelor’s degree in business, accounting or engineering, preferred
- Excellent reading and communication skills
- Well organized and detail oriented
- Excellent decision-making skills
- High level of integrity and accountability
- Ability to represent the company in a professional manner
- The ability to identify, analyze and resolve complex issues
- High level of responsibility and accountability
- Strong working knowledge of AIA contracts and forms
- Proficient in Microsoft Office required. Bluebeam, Procore, and Excel preferred
